# Getting started with ReceiptFold

> The first setup end to end, step by step - sign in, connect Google Sheets or Excel, create a forwarding address, set up the Gmail filter or Outlook rules, check it works, and import your past receipts.

The whole setup takes a few minutes. You do it once; from then on every receipt saves itself. The app guides you through the same steps on its **Home** screen ("Three steps to your first row") and on **Sources**.

## 1. Sign in

Go to [app.receiptfold.com](https://app.receiptfold.com/login), type your email and press **Email me a sign-in link**. Open the email and click **Sign in**. The link works once and expires after a few minutes. There is no password.

## 2. Create your workspace

Give the workspace a name and choose who it is for:

- **Personal**: your own subscriptions and receipts. Spend is grouped by category, with subscriptions and budgets.
- **Team**: a company's providers. Spend is grouped by vendor, with fixed against variable costs.

You can have more than one workspace, for example one personal and one for a business.

## 3. Connect the spreadsheet

Choose where the rows go:

- **Connect Google Sheets**: ReceiptFold creates one spreadsheet in your Google Drive. It can only see files it creates or that you pick.
- **Connect Excel on OneDrive**: ReceiptFold creates one workbook in your OneDrive, in the folder `Apps/ReceiptFold`.

ReceiptFold only ever touches that one file. See [Your spreadsheet](/docs/spreadsheet/).

## 4. Give your receipts an address (a source)

On **Sources**, give the source a short name, like "billing" or "personal", and press **Create the address**. You get a forwarding address that ends in `@receiptfold.com`. Every message that reaches it becomes a row.

Then make your mail app send receipts there on its own. Pick your mail app in the guide:

### Gmail

1. **Connect your Google account** on the source (optional but recommended): the Gmail links then open in the right account, the test mail goes to it, and your past receipts are read from its Drive.
2. **Add the address in Gmail.** Open Gmail's "Create a filter" dialog (the link in the app comes with the receipt search already filled in). Click **Create filter**, tick **Forward it to**, click **Add forwarding address**, paste your ReceiptFold address, then Next, Proceed and OK.
3. **Confirm it.** Gmail sends a confirmation link to your ReceiptFold address. ReceiptFold receives it within a minute, opens the link and presses Confirm for you. Reload Gmail's **Forwarding and POP/IMAP** tab: if the "Verify …" line is gone, press **I've confirmed it** in ReceiptFold. If it is still there, open the link shown in ReceiptFold and press Confirm yourself.
4. **Create the filter.** Open the same filter dialog again, click **Create filter**, tick **Apply the label** and choose (or create) a label called **ReceiptFold**, tick **Forward it to** and choose your ReceiptFold address, then **Create filter**. The label matters: it is how you export your past receipts later. Prefer a file? Download the filter from ReceiptFold and use **Import filters** in Gmail's Filters and Blocked Addresses settings.

Gmail only accepts a filter that forwards to a **confirmed** address, so step 3 comes before step 4.

On **Google Workspace**, an admin must allow automatic forwarding first: Admin console → Apps → Google Workspace → Gmail → End user access → Automatic forwarding.

### Outlook (Outlook.com and Microsoft 365)

Press **Connect Outlook** on the source. With one click ReceiptFold creates the rules in your Outlook that forward receipts to your address, sends a test mail to prove they work, and **imports the receipts of the last year**. The access serves that import only and is dropped when it ends; new receipts arrive through the rules.

Prefer to do it by hand? In Outlook on the web open Settings → Mail → Rules → Add new rule, use the conditions shown in the app (subject or body includes words like invoice, receipt, payment, order, factura, recibo…, or has an attachment) and the action **Forward to** your ReceiptFold address. In Outlook for Windows or Mac you can download the rules file (`.rwz`) and import it: File → Manage Rules & Alerts → Options → Import Rules.

### Apple Mail and other mail apps

In Mail on Mac open Settings → Rules → Add Rule, with conditions on the subject and content (words like invoice, receipt, factura, recibo, and ".pdf"), and the action **Forward Message** to your ReceiptFold address. Any mailbox that can forward works the same way, and you can always forward a receipt by hand.

## 5. Check it works

On the source, press **Send the test mail**. ReceiptFold sends a receipt-like test mail to your mailbox; your filter or rule forwards it back, and the step completes on its own, usually within a minute. You can also forward any invoice by hand: the row appears in your spreadsheet within about a minute.

## 6. Import the receipts you already have

Your filter only forwards mail that arrives from now on. The receipts already in your mailbox come in with a one-time import. History import does not count against your plan's monthly receipts.

- **Gmail:** export the ReceiptFold label with Google Takeout into your Drive, then choose the file in ReceiptFold. Step by step in [Importing your past receipts](/docs/import-history/).
- **Outlook:** already done if you used **Connect Outlook**: it reads the last year itself.
- **Apple Mail:** export the mailbox as `.mbox` and import it.

## 7. See your spend

Open **Spend** to see totals per currency, this month against last, by vendor and by category, subscriptions and budgets. Receipts the parser could not read with confidence wait in **Review**. See [The app, screen by screen](/docs/using-the-app/).

## Optional next steps

- Add more sources: one per mailbox, per teammate, or whatever you want to keep apart.
- Add your own AI model key so hard receipts are read for you and you can ask questions about your spending: [Your own AI model key](/docs/ai-key/).
- Turn on the weekly and monthly summaries by email in Settings → Workspace.
- Scan paper receipts with your phone from **Scan**.
