# ReceiptFold: complete documentation > ReceiptFold turns the receipts and invoices that reach your email into rows in a spreadsheet you own (Google Sheets or Excel), keeps each PDF in your own drive, and shows where your money goes: per currency, by month, vendor and category, with subscriptions, budgets, alerts and the patterns that repeat. Source: https://receiptfold.com/docs/ · Updated 2026-10-19 · Contact: hello@receiptfold.com --- URL: https://receiptfold.com/docs/ # ReceiptFold documentation ReceiptFold reads the receipts and invoices that reach your email and writes each one as a row in a spreadsheet you own: **Google Sheets** in your Google Drive, or **Excel** in your OneDrive. Each row has the vendor, the date, the amount in its own currency, the category, the invoice number and a link to the PDF, which is kept in your own drive. On top of that file, the app shows where your money goes: by month, vendor and category, with the subscriptions it finds, budgets, alerts and the patterns that repeat. ## How it works, in one paragraph You sign in with your email, connect the spreadsheet, and get a forwarding address that ends in `@receiptfold.com`. A Gmail filter or an Outlook rule sends receipts to that address on its own. ReceiptFold reads each message once, writes the row, keeps the PDF in your drive and deletes the email. Receipts you already have are imported once from a mailbox export (Gmail) or read directly when you connect Outlook. Paper receipts can be scanned with your phone. ## Start here - [Getting started: the first setup, end to end](/docs/getting-started/): sign in, connect the spreadsheet, forward your receipts, check it works, import your history. - [Sources: adding mailboxes and forwarding](/docs/sources/): Gmail, Google Workspace, Outlook, Apple Mail, forwarding by hand, paper receipts. - [Importing your past receipts](/docs/import-history/): Google Takeout, Outlook, Apple Mail and other ways. ## Using ReceiptFold - [Your spreadsheet](/docs/spreadsheet/): the file, its tabs and columns, and what ReceiptFold can touch. - [The app, screen by screen](/docs/using-the-app/): Home, Spend, Vendors, Search, Review, Insights, Ask, Scan and the summaries by email. - [Your own AI model key](/docs/ai-key/): what it is for, which providers, what it costs, what is sent. - [Widget and API](/docs/widget-api/): show your spend on your own site, or read it from your server. - [Plans and billing](/docs/plans-billing/): limits, prices, switching plans, cancelling. - [Privacy and security](/docs/privacy-security/): what is kept and what is not. - [Troubleshooting and FAQ](/docs/faq/): forwarding that does not arrive, imports, review queue, and common questions. ## Quick facts - **Where your data lives:** in your own spreadsheet and your own drive. ReceiptFold keeps no copy of your rows, your emails or your PDFs. - **What it can access:** only the one spreadsheet file it creates (Google Drive `drive.file` scope; OneDrive app folder `Apps/ReceiptFold`). - **Mailboxes supported:** Gmail, Google Workspace, Outlook.com and Microsoft 365, Apple Mail, and any mailbox that can forward. - **Currencies:** every receipt keeps its own currency; totals are shown per currency. - **Languages:** the app works in English and Spanish. - **Price:** a free plan reads 10 new receipts a month; paid plans read more. See [Plans and billing](/docs/plans-billing/). - **Contact:** hello@receiptfold.com. --- URL: https://receiptfold.com/docs/getting-started/ # Getting started: the first setup, end to end The whole setup takes a few minutes. You do it once; from then on every receipt saves itself. The app guides you through the same steps on its **Home** screen ("Three steps to your first row") and on **Sources**. ## 1. Sign in Go to [app.receiptfold.com](https://app.receiptfold.com/login), type your email and press **Email me a sign-in link**. Open the email and click **Sign in**. The link works once and expires after a few minutes. There is no password. ## 2. Create your workspace Give the workspace a name and choose who it is for: - **Personal**: your own subscriptions and receipts. Spend is grouped by category, with subscriptions and budgets. - **Team**: a company's providers. Spend is grouped by vendor, with fixed against variable costs. You can have more than one workspace, for example one personal and one for a business. ## 3. Connect the spreadsheet Choose where the rows go: - **Connect Google Sheets**: ReceiptFold creates one spreadsheet in your Google Drive. It can only see files it creates or that you pick. - **Connect Excel on OneDrive**: ReceiptFold creates one workbook in your OneDrive, in the folder `Apps/ReceiptFold`. ReceiptFold only ever touches that one file. See [Your spreadsheet](/docs/spreadsheet/). ## 4. Give your receipts an address (a source) On **Sources**, give the source a short name, like "billing" or "personal", and press **Create the address**. You get a forwarding address that ends in `@receiptfold.com`. Every message that reaches it becomes a row. Then make your mail app send receipts there on its own. Pick your mail app in the guide: ### Gmail 1. **Connect your Google account** on the source (optional but recommended): the Gmail links then open in the right account, the test mail goes to it, and your past receipts are read from its Drive. 2. **Add the address in Gmail.** Open Gmail's "Create a filter" dialog (the link in the app comes with the receipt search already filled in). Click **Create filter**, tick **Forward it to**, click **Add forwarding address**, paste your ReceiptFold address, then Next, Proceed and OK. 3. **Confirm it.** Gmail sends a confirmation link to your ReceiptFold address. ReceiptFold receives it within a minute, opens the link and presses Confirm for you. Reload Gmail's **Forwarding and POP/IMAP** tab: if the "Verify …" line is gone, press **I've confirmed it** in ReceiptFold. If it is still there, open the link shown in ReceiptFold and press Confirm yourself. 4. **Create the filter.** Open the same filter dialog again, click **Create filter**, tick **Apply the label** and choose (or create) a label called **ReceiptFold**, tick **Forward it to** and choose your ReceiptFold address, then **Create filter**. The label matters: it is how you export your past receipts later. Prefer a file? Download the filter from ReceiptFold and use **Import filters** in Gmail's Filters and Blocked Addresses settings. Gmail only accepts a filter that forwards to a **confirmed** address, so step 3 comes before step 4. On **Google Workspace**, an admin must allow automatic forwarding first: Admin console → Apps → Google Workspace → Gmail → End user access → Automatic forwarding. ### Outlook (Outlook.com and Microsoft 365) Press **Connect Outlook** on the source. With one click ReceiptFold creates the rules in your Outlook that forward receipts to your address, sends a test mail to prove they work, and **imports the receipts of the last year**. The access serves that import only and is dropped when it ends; new receipts arrive through the rules. Prefer to do it by hand? In Outlook on the web open Settings → Mail → Rules → Add new rule, use the conditions shown in the app (subject or body includes words like invoice, receipt, payment, order, factura, recibo…, or has an attachment) and the action **Forward to** your ReceiptFold address. In Outlook for Windows or Mac you can download the rules file (`.rwz`) and import it: File → Manage Rules & Alerts → Options → Import Rules. ### Apple Mail and other mail apps In Mail on Mac open Settings → Rules → Add Rule, with conditions on the subject and content (words like invoice, receipt, factura, recibo, and ".pdf"), and the action **Forward Message** to your ReceiptFold address. Any mailbox that can forward works the same way, and you can always forward a receipt by hand. ## 5. Check it works On the source, press **Send the test mail**. ReceiptFold sends a receipt-like test mail to your mailbox; your filter or rule forwards it back, and the step completes on its own, usually within a minute. You can also forward any invoice by hand: the row appears in your spreadsheet within about a minute. ## 6. Import the receipts you already have Your filter only forwards mail that arrives from now on. The receipts already in your mailbox come in with a one-time import. History import does not count against your plan's monthly receipts. - **Gmail:** export the ReceiptFold label with Google Takeout into your Drive, then choose the file in ReceiptFold. Step by step in [Importing your past receipts](/docs/import-history/). - **Outlook:** already done if you used **Connect Outlook**: it reads the last year itself. - **Apple Mail:** export the mailbox as `.mbox` and import it. ## 7. See your spend Open **Spend** to see totals per currency, this month against last, by vendor and by category, subscriptions and budgets. Receipts the parser could not read with confidence wait in **Review**. See [The app, screen by screen](/docs/using-the-app/). ## Optional next steps - Add more sources: one per mailbox, per teammate, or whatever you want to keep apart. - Add your own AI model key so hard receipts are read for you and you can ask questions about your spending: [Your own AI model key](/docs/ai-key/). - Turn on the weekly and monthly summaries by email in Settings → Workspace. - Scan paper receipts with your phone from **Scan**. --- URL: https://receiptfold.com/docs/sources/ # Sources: adding mailboxes and forwarding A **source** is one forwarding address that ends in `@receiptfold.com`. Every message that reaches it is read once: a receipt becomes a row, anything else is dropped. Create one source per mailbox, per teammate, or per anything you want to keep apart; each row remembers which source it came from. ## Add a source 1. Open **Sources** and press **+ New address** (or **Add source**). 2. Give it a short name, like "billing" or "personal", and press **Create the address**. 3. Follow the guide for your mail app (Gmail, Gmail on Google Workspace, Outlook, Apple Mail) shown under the address. You can **rename** a source at any time. Only the name changes; the forwarding address stays the same, so your filter or rule keeps working. The number of sources (inboxes) depends on your plan: 1 on Free and Personal, 3 on Pro, 10 on Business. See [Plans and billing](/docs/plans-billing/). ## Gmail The guide has three phases: **Add the address in Gmail**, **Forward receipts automatically**, **Check it works**. Full steps are in [Getting started](/docs/getting-started/#gmail). The essentials: - Connect the Google account the mailbox belongs to, so the links open in the right account and past receipts can be read from its Drive. - Gmail asks to confirm a new forwarding address. The confirmation reaches ReceiptFold and is opened for you; press **I've confirmed it** once Gmail no longer shows "Verify …". - The filter both **forwards** to your ReceiptFold address and **applies the label "ReceiptFold"**. The label is what you export later to import your history. - You can import the filter as a file instead of creating it by hand (**Download Gmail filter**, then Gmail → Settings → Filters and Blocked Addresses → Import filters). Gmail rejects filters for unconfirmed addresses, so confirm first. ### Google Workspace An admin must allow automatic forwarding: Admin console → Apps → Google Workspace → Gmail → End user access → Automatic forwarding. ## Outlook and Microsoft 365 **Connect Outlook** does everything: it creates the forwarding rules in your mailbox, sends a test mail to check them, and imports the receipts of the last year. ReceiptFold keeps no access to the mailbox afterwards. To remove the rules later, use **Disconnect Outlook**; Microsoft asks you to sign in once. If the test mail never comes back: - **Work or school account (Microsoft 365):** your organisation blocks forwarding outside by default. An admin must allow it: Microsoft Defender portal → Email & collaboration → Policies & rules → Threat policies → Anti-spam → Anti-spam outbound policy → Automatic forwarding rules: "On – Forwarding is enabled". Or use the rule file. - **Personal Outlook.com account:** Microsoft disables automatic forwarding on accounts it considers new or little used. Verify your phone number at account.live.com, then connect again. By hand: Outlook on the web → Settings → Mail → Rules → Add new rule, conditions "any of" (subject includes invoice, receipt, payment, order, purchase, subscription, factura, recibo, pago, pedido, compra, suscripción; body includes invoice, receipt, factura, recibo; has attachment), action **Forward to** your ReceiptFold address. Outlook for Windows or Mac: download the `.rwz` rules file and import it (File → Manage Rules & Alerts → Options → Import Rules). The conditions are generous on purpose: ReceiptFold keeps what carries an amount and drops the rest. ## Apple Mail Mail on Mac → Settings → Rules → Add Rule. "If any of the following conditions are met": subject contains invoice / receipt / payment / order / subscription / factura / recibo / pago / pedido / compra, or message content contains invoice / receipt / factura / recibo; Mail has no "has attachment" condition, so add "Message content contains .pdf". Perform: **Forward Message** to your ReceiptFold address. Then OK and Apply. ## Forwarding by hand Any receipt forwarded to the address becomes a row, from any mail app. To bring older receipts by hand, select up to 25 messages and choose **Forward as attachment**: each attached message becomes one row. For many receipts, use a mailbox export instead ([Importing your past receipts](/docs/import-history/)). ## Check it works Press **Send the test mail** on the source. ReceiptFold sends a receipt-like mail to your mailbox; your filter forwards it back and the step completes by itself, usually within a minute. One test mail a minute. A source shows its state: **receiving mail**, **confirmed, nothing received yet**, or **Not confirmed yet**. If no mail arrives for 7 days, the source lists likely causes. See [Troubleshooting](/docs/faq/). ## Paper receipts and files from your phone - **Scan:** open **Scan** in the app, point the camera at the receipt and tap the shutter. A long receipt can be shot in parts; they become one. You can also pick a photo or a PDF. If something cannot be read, it waits in **Review** with the picture. - **Share:** installed as an app on your phone, ReceiptFold appears in the share menu: share a photo or a PDF to it and it is read the same way. ## Starting a source over **Remove this source's rows** deletes every row the source wrote to your spreadsheet (its receipts, their lines and its reviews). Vendors stay, and so do the receipt files in your drive. Then import the history again and the rows come back read with the current parser. --- URL: https://receiptfold.com/docs/import-history/ # Importing your past receipts A filter or rule only forwards mail that arrives from now on. The receipts already in your mailbox come in with a **one-time import**. History import never counts against your plan's monthly receipts, on any plan, Free included. ## Gmail: Google Takeout (recommended) Your Gmail filter already put the **ReceiptFold** label on the receipts in your inbox (that is what "Apply new filters to existing email" does when you import the filter). Google Takeout turns that label into one file, and ReceiptFold reads it straight from your Drive. Do this signed in to the mailbox's own Google account. 1. Open **Google Takeout** from the link on the source. It already ticks Mail for you. 2. Click **All Mail data included**, untick **Include all messages in Mail**, tick only **ReceiptFold**, and press OK. 3. Scroll to the bottom and click **Next step**. Under **Transfer to** choose **Add to Drive**, keep **.zip** as the file type, and click **Create export**. 4. **Wait for Google.** The exports page shows "Export in progress". It can take minutes, sometimes hours or days. When the email "Your Google data is ready" arrives, the file is in the **Takeout** folder of your Drive. 5. Back in ReceiptFold, click **Choose a file from Google Drive**, open the **Takeout** folder and pick the file called `takeout-….zip`. Nothing to download or unzip. The import shows its progress on the source ("Backfill: N of ~M processed"). When it ends, Insights can read your whole history. Notes: - Google sometimes splits an export into several zip files. The small one (about 50 KB) holds only an index page; choose the **large** file with the same date, the one with the mailbox. - Choose **.zip**, not .tgz. Up to 2 GB per export. - If the mailbox belongs to a different Google account than your spreadsheet, connect that account's Drive on the source and the export shows up there. - Imports run one at a time; a second one waits in a queue. ## Outlook **Connect Outlook** on the source and ReceiptFold reads the receipts of the **last year** itself: nothing to export, nothing to pick. The counters show what was looked at, what looked like a receipt, what was kept and what needs review. **Import the last year again** repeats it. Without connecting: Outlook cannot export `.mbox`. In Outlook for Windows open File → Manage Rules & Alerts → **Run Rules Now**, pick the ReceiptFold rule and the folders to scan; matching mail is forwarded to your address (Exchange sends about 30 messages a minute). For very large histories, save the messages as `.eml` files and put them in OneDrive at `Apps/ReceiptFold/imports`. Outlook `.pst` files are not supported. ## Apple Mail Select the mailbox and choose Mailbox → **Export Mailbox…**. Mail creates a `.mbox` folder; upload the file named `mbox` inside it to your Google Drive, or to OneDrive at `Apps/ReceiptFold/imports`, and choose it on the source. ## Other ways - **Forward as attachment:** select up to 25 messages, forward them as attachments to your address; each attached message becomes one row. Gmail allows a limited number of sends a day, so for hundreds of receipts use an export. - **Files ReceiptFold accepts:** a Google Takeout `.zip`, an `.mbox` or an `.eml`, up to 2 GB. ReceiptFold reads the file from your drive and never stores it. ## After the import - Receipts it could not read with confidence wait in **Review**. With your own AI model key, most of them are read for you. - **What was bought:** many receipts only say the shop and the total. In Settings → Parsing, **Check my kept receipts** opens the kept copies again and writes down the products on each row, so you can search "air fryer" or ask "what appliances did I buy?". - Start a source over with **Remove this source's rows**, then import again. --- URL: https://receiptfold.com/docs/spreadsheet/ # Your spreadsheet Every receipt becomes a row in **one spreadsheet you own**: a Google Sheet in your Google Drive, or an Excel workbook in your OneDrive (folder `Apps/ReceiptFold`). ReceiptFold creates the file when you connect storage and **only ever touches that file**. The kept PDFs and pictures of your receipts are stored in your drive too, and each row links to its own. ## Tabs and columns The main tab is **invoices**: one row per receipt, payment or income. | Column | What it holds | | --- | --- | | `invoice_date` | The date on the receipt | | `received_at` | When the message reached ReceiptFold | | `source` | Which source (forwarding address) it came from | | `vendor_id`, `vendor_name` | Who you paid, recognised from the sender and the content | | `invoice_number` | The receipt or invoice number, when there is one | | `period_start`, `period_end` | The period a subscription charge covers | | `amount`, `currency` | The amount in its own currency | | `amount_base`, `base_currency`, `fx_rate`, `fx_date` | The amount converted to your base currency, with the rate used | | `category` | The category (built-in or one you created) | | `kind` | Expense, income or refund | | `paid_via` | The bank or card that sent a payment notice, when the receipt came through one | | `status`, `confidence`, `parser` | How the row was read and how sure the reading was | | `attachment_url` | The link to the kept PDF or picture in your drive | | `notes` | Your own notes | Other tabs: **invoice_lines** (what was bought, one line per item, when the receipt says it), **vendors** (each vendor with its category and how it is recognised), **sources** (your forwarding addresses), and three working tabs that start with an underscore (`_review`, `_index`, `_meta`) that ReceiptFold uses for the review queue, to skip duplicates and to remember your settings, budgets, notes and conversation. Leave the underscore tabs as they are. ## Editing The file is yours: you can sort, filter, add your own columns, chart it or share it. ReceiptFold keeps your extra columns. Changes you make in the app (a category, a vendor rule, a note, a confirmed review) are written back to the file. ## Duplicates Each receipt is recognised by its content, so the same receipt forwarded twice, or imported and forwarded, is written once. ## Access and disconnecting - Google: ReceiptFold uses the `drive.file` scope, so it can only see files it creates or that you pick. It cannot read the rest of your Drive. - Microsoft: ReceiptFold uses OneDrive's app folder (`Apps/ReceiptFold`) and cannot see the rest of your OneDrive. - Deleting a workspace (Settings → Workspace) deletes ReceiptFold's records and revokes its access at the provider. Your file stays in your account. --- URL: https://receiptfold.com/docs/using-the-app/ # The app, screen by screen ## Home Until the first receipt lands, Home shows the setup in three steps (connect the spreadsheet, give your receipts an address, forward one receipt). After that it shows a summary: where this month is heading and what needs your eye. A bar at the top of every page reminds you of anything pending, like questions about your profile to confirm or receipts that could say what was bought. ## Spend Totals for the months you choose (3, 6, 12 or 24, up to your plan's history), **per currency**: every amount keeps its own currency, and when you pay in several there is a tab per currency. - **This month**: what has gone out so far, what is still due (subscriptions and fixed payments expected before the month ends), the daily pace, and where the month is heading against your typical month. - **Monthly chart**: click a bar to open that month and the vendors behind it. Notes you pin on a date show on the chart. - **By vendor and category**: each with its share. A category opens Search with that category, currency and period filtered. - **Subscriptions**: found from the receipts themselves, with their monthly equivalent, even for yearly plans. - **Budgets**: a monthly budget per category, with a warning when the month is heading over it. - **Money in and out**: income and refunds are kept apart from spend; moves between your own accounts are never counted as spend. - **Invoices**: every row, with a link to the kept receipt. ## Vendors Every vendor with its total, category and how it is recognised. A vendor's page shows its receipts, its monthly chart, whether it is a subscription, what was bought, and a description you can write (what this vendor is for you). You can change a vendor's category, or set a rule so its receipts are always read the same way. ## Search and reports Find any receipt by any word, vendor, date or amount, with quick date filters (last 7 days, last week, this month, last month, this year…) and filters by kind, status, category, vendor, channel and currency. The summary above the results shows totals per currency, the number of receipts, the largest one and the top vendor and category. **Download** gives a CSV for your spreadsheet tool or a printable **PDF report**. ## Review Receipts that could not be read with confidence wait here, with the reason: more than one possible total, no amount found, a scanned PDF without text, fields it was unsure about, a receipt sent by you (who was it for?). Confirm or correct the fields and save; ReceiptFold learns from what you confirm. **Not a receipt** dismisses it. With your own AI model key, most of these are read for you and leave the queue on their own. ## Insights - **Habits score**: a 0 to 100 score from your own receipts, with every part explained (savings rate, variable share, budgets kept, discretionary share, how much the months swing, the trend, subscriptions). No model needed. - **This month and Needs your eye**: the month's outlook and alerts: an unusual charge, a new subscription, a vendor that came back, a budget over or at risk, a category or a month running high or low. - **Learned patterns**: what repeats in your rows, found by rule: payments due around the same day each month, income days, payments that leave together, frequent small purchases, weekday and weekend habits, trends, spending around an event. - **Written analysis** (needs your AI model key): a profile, strengths, risks, an action plan and suggested budgets you can set with one click. ## Ask Ask questions about your money in your own words: "why was September higher than August?", "which subscriptions could I drop?", "how much do I spend on delivery, and is it growing?", "what still has to go out this month?", "what is Proyecto PAS?". Ask reads your totals, vendors, receipts and patterns, and can set a budget, pin a note or change a vendor's category when you say so. It needs your own AI model key. **What ReceiptFold knows about you** shows the facts it read from your receipts (where you work, where you live, your car…); confirm what is right and it becomes context for your answers. ## Scan Point the camera at a paper receipt and tap the shutter; long receipts in parts. Or pick a photo or a PDF. See [Sources](/docs/sources/#paper-receipts-and-files-from-your-phone). ## Settings - **Storage**: the spreadsheet in use, and switching or reconnecting it. - **Plan & usage**: your plan, the receipts read this month, and changing plan. See [Plans and billing](/docs/plans-billing/). - **Widget & API**: keys for the widget and the API. See [Widget and API](/docs/widget-api/). - **Parsing**: your own AI model key, and reading your kept receipts again to write down what was bought. - **Workspace**: name, base currency, the summaries by email, and deleting the workspace. ## Summaries by email Turn them on in Settings → Workspace. **Every Monday**: the week's spend, where the month is heading and what deserves a look. **On the 1st**: the month in review against the one before, where the money went, and the patterns your receipts show. **Send me both now, as a test** sends them right away with your current data. Every mail has a one-click link to stop them, and replying reaches us. --- URL: https://receiptfold.com/docs/ai-key/ # Your own AI model key ReceiptFold reads most receipts **by rule**, with no AI model. A model, with a key **you** bring, adds three things: 1. **Hard receipts get read for you.** When the parser is unsure, the model reads the receipt. A complete answer (amount, currency and date) becomes a row; a partial one goes to Review for you to confirm. The first receipt it reads from a new vendor asks for one confirmation. 2. **Ask** answers questions about your money, and **Insights** writes the analysis: a profile, an action plan and budgets that fit your months. 3. **What was bought**: receipts that only say the shop and the total get the product written down. Everything else (rows, Spend, Search, the habits score, patterns, alerts, the summaries by email) works without a key. ## What a key is A key is a long code you copy once from the provider. It lets ReceiptFold use that model on your behalf, **billed to you** by the provider. It is stored encrypted in your workspace (AES-256-GCM) and you can remove it any time. ## Providers | Provider | Suggested model | To start | | --- | --- | --- | | Google Gemini | gemini-2.5-flash | Free to start, no card needed; a Google account works | | OpenAI | gpt-4o-mini | A card on file; pay as you go | | Anthropic | claude-haiku-4-5 | A card on file; pay as you go | Leave the model empty to use the suggested one. ## How to add it 1. Open the provider's keys page and sign in (the app links to each one). 2. Create a key and copy it. 3. In ReceiptFold open **Settings → Parsing**, choose the provider, paste the key and press **Save key**. The receipts waiting in Review are read with it right away; the ones it can read leave the queue on their own. ## What it costs A question or a hard receipt costs a fraction of a cent. A normal month is cents, not dollars. ## What is sent to the model Only what each task needs: for a hard receipt, that receipt's text; for questions and the analysis, totals and the few rows the answer needs, never your whole file. Your key is used only for your workspace. --- URL: https://receiptfold.com/docs/widget-api/ # Widget and API ## The widget A read-only box that shows this workspace's spend on a site of yours, drawn from the same numbers as Spend: total and monthly average, this month against the previous, subscriptions, a monthly chart, and where the money goes by vendor or by category, with the vendors' logos. Light or dark, English or Spanish. Visitors can switch the view (Spend, Vendors, Subscriptions), the period (3, 6 or 12 months) and the currency. The widget is available on the Pro plan and above; on Business and Scale it can carry your own logo instead of "Powered by ReceiptFold". ### Set it up 1. Settings → **Widget & API**. Under "Where will it be shown?" list the origins, one per line: scheme and host, no path (for example `https://intranet.example.com`). `http://localhost` is accepted for development. Up to 10 origins. 2. Create a **public key**. It only works on the origins you list, so a copied key is useless elsewhere. 3. Paste one of the two snippets into your page. Script (draws the widget right after its tag; in a React or Vite app put it in `index.html`, just before ``): ```html ``` Iframe (no script needed): ```html ``` ### Options | Attribute | Values | | --- | --- | | `data-view` | `spend` (default), `subscriptions` or `vendors` | | `data-months` | Window in months, 1 to your plan's history (default 6) | | `data-currency` | The currency to open on (USD, UYU…); default: the one with the most receipts | | `data-lang` | `en` or `es` (default: the page language) | | `data-theme` | `light`, `dark` or `auto` (default `auto`) | | `data-target` | A CSS selector: draw the widget inside that element instead of after the tag | | `data-filters` | `off` hides the quick filters (view, period, currency) | From your own code, for apps that render their box later: ```js ReceiptFoldWidget.mount('#spend', { key: 'sl_pub_…', view: 'spend', months: '6', lang: 'es', theme: 'dark' }); ``` Hosts can theme the widget with CSS custom properties on the host element: `--rf-ink`, `--rf-surface`, `--rf-surface-muted`, `--rf-muted`, `--rf-emerald`, `--rf-danger`, `--rf-hairline`, `--rf-radius`, `--rf-font`, `--rf-font-mono`. ## The API For your own servers: the same JSON the widget reads, with a **secret key** sent as a Bearer token. The API is available on Business and Scale. Never put a secret key in a browser; the API refuses it there. ```bash curl -H "Authorization: Bearer sl_sec_…" "https://api.receiptfold.com/v1/widget/view?view=spend&months=6" ``` `view`, `months` and `currency` take the same values as the widget. A key is shown once, right after you create it; revoke it in the same screen. Up to 25 keys per workspace. The payload holds totals, vendor names and categories only: never receipt numbers, email addresses, sources or file links. --- URL: https://receiptfold.com/docs/plans-billing/ # Plans and billing Every plan reads your receipts the same way. They differ in how many new receipts are read each month, how many sources (inboxes) you can have, and how far back you can see. | | Free | Personal | Pro | Business | Scale | | --- | --- | --- | --- | --- | --- | | New receipts read each month | 10 | 100 | 500 | 2,000 | 10,000 | | Sources (inboxes) | 1 | 1 | 3 | 10 | Unlimited | | History you can see | 2 years | 2 years | 3 years | 5 years | Unlimited | | Widget on your site | No | No | Yes | Yes, your own brand | Yes, your own brand | | API, webhooks, AI assistants (MCP) | No | No | No | Yes | Yes | | Team members | 1 | 1 | 1 | Unlimited | Unlimited | | Price | Free | UYU 160 a month or UYU 1,600 a year | UYU 760 a month or UYU 7,600 a year | By arrangement | By arrangement | On every plan, Free included: - **Importing your past receipts never counts** against the monthly receipts. - Ask, Insights, the learned patterns and re-reading your kept receipts are included (Ask and the written analysis use your own AI model key). - The weekly and monthly summaries by email. Yearly billing costs about two months less than paying monthly. Business and Scale are arranged by email: hello@receiptfold.com. ## What counts as a receipt Each new receipt written to your spreadsheet counts once, in the month it arrives. Duplicates, messages that are not receipts and imported history do not count. Settings → **Plan & usage** shows the receipts read this month against your plan's. ## Paying Payments are handled by **Lemon Squeezy**, the merchant of record (it charges and issues the invoices, with local taxes). On a Free account, choose **Personal** or **Pro** on its card in Settings → Plan & usage, monthly or yearly; the checkout opens with your email filled in. The plan changes as soon as the payment is confirmed. ## Changing plan or billing period On the plan cards, the one you pay for (plan and period) is marked **Your plan**. Every other self-serve option offers a switch: **Switch to Pro**, **Switch to Personal**, **Switch to yearly**, **Switch to monthly**. Before confirming, the card says what is charged: - **Moving up** (a bigger plan, or yearly instead of monthly): you pay now only the difference for the rest of your current period, then the new price. The new limits apply right away. - **Moving down**: from your next renewal you pay the new price; what you already paid and did not use is credited to your next invoices. ## Invoices, card and cancelling **Manage billing** on your plan's card opens Lemon Squeezy's customer portal: invoices, payment method, and cancelling. A cancelled plan stays active until the end of the period you paid for, then the account returns to Free. Your spreadsheet and your rows stay yours either way. ## Courtesy plans A plan granted by ReceiptFold at no charge shows a note saying so; there is no subscription to manage. --- URL: https://receiptfold.com/docs/privacy-security/ # Privacy and security ## What ReceiptFold does not keep - **Your emails.** Each message that reaches your forwarding address is read once, then deleted. - **Your PDFs and pictures.** They are saved in your own drive, not ours. - **Your rows.** They live in your spreadsheet. ReceiptFold keeps no copy. - **Your inbox.** ReceiptFold never asks to read your mailbox. It only gets the receipts your filter or rule sends. (Connecting Outlook creates the rules and reads the last year once for the import; the access is dropped when it ends.) ## What ReceiptFold keeps - Your sign-in email. - Your workspaces, sources (forwarding addresses) and their settings. - A monthly count of receipts read, for your plan. - The connection to your spreadsheet (an encrypted credential), and your AI model key if you add one (encrypted). ReceiptFold never sells or shares your information. ## Access to your files - Google: the `drive.file` scope only, so ReceiptFold sees only the files it creates or that you pick. Never the rest of your Drive. - Microsoft: OneDrive's app folder `Apps/ReceiptFold` only. - Disconnect or delete the workspace and the access is revoked at the provider the same minute. Your file stays in your account. ## Security TLS 1.3 in transit; AES-256-GCM encryption at rest for every credential; OAuth 2.0 with the narrowest scopes each provider offers; HMAC-SHA-256 signed internal calls; sign-in by single-use email link (no passwords). ReceiptFold runs on Cloudflare and Google Cloud. What should I check? Press **Send the test mail** on the source. If it does not come back within a few minutes: 1. Open the test mail in your mailbox. If it is there, your filter or rule is not forwarding: check it forwards to your ReceiptFold address. 2. Gmail: Settings → Forwarding and POP/IMAP must list your ReceiptFold address as verified. 3. Google Workspace: an admin must allow automatic forwarding (Admin console → Apps → Google Workspace → Gmail → End user access → Automatic forwarding). 4. Microsoft 365: forwarding outside the organisation is blocked by default; an admin must turn on "Automatic forwarding rules" in the outbound anti-spam policy (Microsoft Defender portal). 5. Outlook.com: Microsoft disables forwarding on accounts it considers new; verify your phone number at account.live.com and connect again. 6. The rule may not match your vendors' emails: forward one invoice by hand; if it arrives, widen the rule's words. A source with no mail for 7 days shows these causes itself. ### Gmail says the forwarding address needs verification. Gmail sends a confirmation link to your ReceiptFold address; ReceiptFold opens it for you within a minute. Reload Gmail's Forwarding and POP/IMAP tab. If "Verify …" is still there, open the link shown on the source in ReceiptFold and press Confirm. The code shown there works for about a day. ### Gmail rejects my filter. Gmail only accepts a filter that forwards to a confirmed address. Confirm the address first, then create or import the filter. ### Can I use more than one mailbox? Yes: add one source per mailbox. Free and Personal include 1 source, Pro 3, Business 10. ### Can I add paper receipts? Yes: **Scan** with your phone's camera, pick a photo or PDF, or share a file to ReceiptFold from your phone. ## Importing history ### How do I bring the receipts I already have? Gmail: Google Takeout of the ReceiptFold label into your Drive, then choose the file in ReceiptFold. Outlook: Connect Outlook reads the last year. Apple Mail: export the mailbox as .mbox. See [Importing your past receipts](/docs/import-history/). ### The Takeout file has no mailbox. Takeout can split an export in several zip files. The small one (about 50 KB) holds only an index page. Choose the large file with the same date. ### Does the import count against my plan? No. History import never counts against the monthly receipts, on any plan. ### How long does Google Takeout take? From minutes to hours, sometimes days. Wait for Google's email "Your Google data is ready", then pick the file. ## Reading receipts ### Why is a receipt in Review? ReceiptFold was not sure: more than one possible total, no amount found, a scanned PDF without text, or a receipt you sent yourself. Confirm or correct it; ReceiptFold learns from it. With your own AI model key most of these are read for you. ### A row has the wrong category or vendor. Change it on the vendor's page; you can also set a rule so that vendor is always read the same way. Ask can do it too ("put PedidosYa in Delivery"). ### Bank and card payment notices: are they counted twice? A payment notice from your bank is matched with the merchant's own receipt so the same purchase is not counted twice; the bank becomes the row's "paid via". Moves between your own accounts are never counted as spend. ### Does it handle several currencies? Yes. Each receipt keeps its own currency, and totals are shown per currency. A base currency in Settings → Workspace converts amounts for comparison. ### What languages does it read? Receipts in any language with the usual words for total, date and amount; it is tuned for English and Spanish. The app itself is in English and Spanish. ## Account and data ### Where is my data? In your own spreadsheet (Google Sheets or Excel) and your own drive. ReceiptFold keeps no copy of your emails, PDFs or rows. See [Privacy and security](/docs/privacy-security/). ### How do I stop the summaries by email? Use the link at the bottom of any summary, or Settings → Workspace. ### How do I delete my data? Settings → Workspace → Delete workspace deletes ReceiptFold's records and revokes its access. Your spreadsheet stays in your account; delete it there if you want. ### How do I contact you? Write to hello@receiptfold.com, or reply to any email ReceiptFold sends you.
